H.S.A.  Meeting May 7, 2008


A meeting was held to discuss the H.S.A. Officer roles in preparation for upcoming elections for the 2008-2009 school year.  There will be some restructuring of positions in order to encourage more involvement, and to more evenly distribute the responsibilities and time commitments of each office. The current President and Vice President positions will be transformed into three Co-Leader positions, each of which will oversee several committee heads and their teams, including the team coordinating one of the school’s major fundraisers (Sports/Travel Raffle, Holiday Boutique, and Spring Auction.)

The Secretary’s position will expand into two complimentary positions:  the traditional Recording Secretary who will record notes during the H.S.A. meetings, and type up minutes for the website.  This secretary will also set the meeting schedule for the year, and type up an agenda for each meeting after discussion with the Leaders.

The new secretarial position will be more of a Publicity/Communications position.  This person will arrange for advertisements of upcoming events to be placed in the church bulletins of St. George’s and St. Margaret’s. Updates on other interesting school happenings will be placed in local newspapers.  Flyers and sandwich board ads will also be made by this person, with the help of volunteers as needed.

In addition, there will be the traditional offices of Treasurer, Sports Booster, Socials, Outreach, Curriculum Enrichment, Room Parent Coordinator.
Next week a nomination form will be sent home in the Blue Folders.  These forms will have a description of the duties of each H.S.A. officer. Everyone please consider volunteering for an H.S.A. office, or nominate someone you think might do well with the position.  Once the new officers are chosen, there will be a preliminary H.S.A. meeting before school lets out, with the current and newly elected officers to discuss plans for next year.

The idea of having a Volunteer Opportunity Fair at the Welcome Back to School Night was raised.  At that time, activity booths will be set up, and past volunteers will be available for discussion of each committee and the work involved.  A list of interested volunteers will be obtained.  Ideally, a preliminary list of those interested should be formed before the start of the next school year.  Please start thinking about what you’d like to help out with next year and contact one of the H.S.A. officers for information.  There was discussion about streamlining the calendar of events for next year, so that volunteer efforts could be used more wisely.  The following activities will need teams of volunteers:

Fall Festival/Grandparents Day
Book Fair/Ice Cream Social
Father-Daughter Dance
Adult Social
Bingo Night
Family Social Night (to replace individual grade socials)
Hospitality
Facilities Management (Grounds upkeep in coordination with a Board member)
Fundraisers:
Sports/Travel Raffle (to replace gift wrap fundraiser)
Holiday Boutique
Spring Auction
Service Hour Tracking
Scrip Program Coordination
and much, much more!!

Remember: Evening Meeting on May 29th with Denise Roberts leading a discussion about “Raising Christian Children in a Secular World”. Perhaps by then, next year’s H.S.A. Officers will be determined and announced!

Next Morning Meeting will be Wed. June 11 at 8:30. During this meeting, current and new officers will get together to transition duties before school ends. Please make every effort to come - it will help make a smooth transition for new officers!
